From operational chaos to structured growth

OPTIMOD helps growing companies simplify operational complexity by creating clearer organizational structures, responsibilities and practical business processes.

Everything we do is practical and human. No heavy consulting jargon or overcomplicated models. Just clear structures that you and your team can understand, apply and maintain as the business grows.

“Most business systems don't fail because they move too slowly, but because they lose clarity while moving fast.”

WHAT WE DO AND WHY

As businesses grow, things naturally become more complex. Roles start to overlap, decisions take longer, communication becomes harder and too much can depend on a few key people.

We do not treat these as isolated problems. Instead, we align strategy, structure, responsibilities and business processes so the business can grow, adapt and introduce new technologies without creating more chaos.

The result is a business that is easier to understand, manage and scale.

IMPROVING ENTREPRENEURIAL JOURNEY INITIATIVE (IEJI)

Bridging the gap between theory and practice in entrepreneurship

Launched in 2022, the Improving Entrepreneurial Journey Initiative (IEJI) is a global knowledge-sharing initiative that transforms real entrepreneurial experience into practical guidance.

Each year, founders, CEOs and industry experts from around the world share lessons from starting, building and growing businesses. Their contributions are published in the annual IEJI Brochures and added to the IEJI Knowledge Hub, where practical insights from each edition are brought together.

Each participant answers one simple yet powerful question:

“What advice would you give yourself if you were starting your entrepreneurial journey all over again, with the knowledge and experience you have today?”

Frequently Asked Questions

We work with startups, small and medium-sized businesses and larger organizations across industries. Our strongest fit is growing companies facing increasing operational complexity.

Yes. OPTIMOD is based in Slovenia and works internationally with companies, organizations, entrepreneurs, educational institutions, students and individuals.

Yes. We work with individuals at different stages of their entrepreneurial and professional journey. This includes support with starting a business, company establishment and incorporation, business planning, early-stage structure and development, mentorship, focused consultations, personal growth sessions, workshops and learning resources.

Before investment, we assess operational readiness, identify risks and strengthen key areas. After investment, we support portfolio companies by reducing risks that could affect investment outcomes.

Yes. We can focus on one specific area, but most business challenges are connected. We often combine several OPTIMOD Service Areas into one longer-term engagement based on what the business needs.

Not always. We first review your needs, then either start with a Business System Diagnostic or move directly into the most relevant Service Area and expand from there if needed.

We start with an introductory call to understand your business, priorities and challenges. We then define the project scope, deliverables, timeline and pricing.

Yes. The scope, deliverables, responsibilities, timeline, pricing and payment terms are confirmed in a proposal, agreement or other written confirmation before work begins.

It depends on the scope and complexity. Focused consultations can take just a few hours, while most service-focused OPTIMOD projects run for 3–6 months. Larger implementation projects and long-term collaborations can continue for a year or more.

Yes. We can support implementation, work with your internal team or involve specialist partners where needed.

Yes. We can work alongside internal teams and existing external partners where this supports the project and avoids unnecessary duplication.

Yes. Workshops and learning formats can be adapted to your audience, objectives and business needs.

This depends on the project, but we usually need access to relevant information, documents and key people. The most important requirement is timely feedback and active internal participation.

This includes reviewing materials, answering questions, providing requested information and making decisions within agreed timelines. Delays caused by missing information, late feedback, unavailable stakeholders or delayed client decisions may affect the project schedule and deliverables. OPTIMOD is not responsible for delays or resulting impacts caused by factors outside our control.

Yes. Additional Service Areas, implementation support or other work can be added during the engagement. Any changes outside the agreed scope and their impact on deliverables, timeline and pricing are agreed before the additional work begins.

Both. Most consulting work can be delivered remotely, while on-site sessions, workshops and project activities can be arranged when needed. In such cases, any travel, transport, accommodation or other related expenses are covered by the client and agreed in advance whenever possible.

Pricing depends on the type of engagement.

  • Consultations and advisory work are billed hourly, with our senior consulting rate starting at €150 per hour.
  • Workshops have a fixed fee based on the selected workshop, plus a per-participant fee. Participant numbers affect preparation, materials and the level of targeted interaction required.
  • Service projects usually follow three stages. Initial scoping and project definition are billed hourly. Consultation, education and advisory work remain hourly, while projects with a defined tangible outcome are usually priced at a fixed project fee. Additional implementation, modifications, testing or work outside the agreed scope are billed separately at the applicable hourly rate, which varies depending on the type of work.

Payment terms depend on the type of engagement. Most ongoing work is invoiced monthly, while some projects are billed after services are completed and others may require partial or full payment in advance. Once an invoice is issued, our standard payment term is NET 15 days, unless agreed otherwise.

Yes. Information shared with OPTIMOD is treated as confidential and used only for the agreed engagement. Where required, we can also work under a separate confidentiality or non-disclosure agreement.

Unless agreed otherwise, the client receives the agreed rights to use the final deliverables after all related invoices have been paid. OPTIMOD retains ownership of its underlying methods, frameworks, templates and know-how.

Any work completed up to that point, committed costs and non-refundable expenses remain payable. Specific cancellation or pause terms are defined in the relevant agreement.

We guarantee the agreed scope and deliverables, but not a specific business, financial or operational outcome. Results also depend on factors outside our control, including the information provided, internal decisions, implementation, team adoption, third parties and market conditions.
